How is Shopify POS used in daily business?

Start of the day

At the beginning of a day, the cash book for the day must be opened and the session started. First, after opening the Shopify POS app, go to the menu item Cashbook in the menu. In order to meet the legal requirements, you have to document the cash balance at the start.

This can be, for example, a starting amount of $300 in the form of various notes and coins. To simplify and speed up counting, the Shopify POS system offers a counting aid here.

Checkout process

The starting point in day-to-day business is always the tile view on the start screen. As already mentioned, all relevant and most important elements can be listed here as a tile. These can be both bestseller products and cross-sell products on offer, as well as discounts, vouchers or loyalty points. During the checkout process, products can be added manually using the tiles. Alternatively, you can scan or search.

  • Product scan or search: You can either scan the product with a barcode scanner or possibly with the iPad camera. Or you can also search for it in the app using the search field and the assigned tags.
  • Quantity: The quantity of the products can now be determined.

So that you can later assign the orders to a specific person and so that the order history can be clearly assigned to customers both online and offline, it is advisable to link each order to its own customer profile. For new customers, you can create a new customer profile …

Creating a customer profile is not absolutely necessary. Because based on our experience (and those of our surveyed Shopify retailers) it often happens that customers do not want to store their data. In day-to-day business, creating customer profiles is also time-consuming.

When you arrive at the checkout, you can now select the desired payment method for your: your customer: in; this can be cash or card payment but also gift vouchers. In this process, the payment is also carried out.

Order:

The order summary appears as soon as the payment has been successfully carried out. The order number is displayed here, as well as other promotion options. The invoice can be sent to the customer by email or an exchange or a refund can be carried out.

Exchanges and complaints

As with online shopping, exchanges and complaints can of course also occur in stationary retail.

So that the respective order can be found correctly in the Shopify POS app, either the details from the customer (e.g. name or email) or the order number is required. This is typically also listed on the receipt.

While the processing on the POS app itself is well presented and can be carried out quickly and easily, the documentation in the backend and especially in the daily closing presents some obstacles. There are currently still some accounting stumbling blocks waiting for Shopify retailers.

A note that is not entirely unimportant for everyday business: For refunds, it is currently only possible to transfer the amount to be refunded either via a voucher or to withdraw the originally used means of payment. If, for example, a: e customer: pays with an EC card at the time of purchase, the amount will be reimbursed accordingly to this EC card. A cash payout is not provided in the Shopify POS system here.

End of day

At the end of the day, at the end of the day, the cash book is opened again and the session is closed. Now the amount in the cash register is counted, noted and the day is completed. For this process, a daily closing printout is created at the end:
